How to Email Your Customers with a Holiday Promo Code

The holidays are prime time to reconnect with past customers. Your photos make perfect gifts and a promo code gives them that extra nudge to order. Here's how to do it in three steps.

1.Export Your Customer Email List

  1. Log into your PhotoReflect Pro site at www.photoreflect.com/pro
  2. Click Reports in the top menu
  3. Click the Email tab
  4. Select your Date Range from the dropdown (try "Past 365 Days" to capture a full year of contacts)
  5. Click Export Report (csv) to download your list

The export includes columns showing where each email came from orders, photo cards, shared albums, or event notifications. Customers who've placed orders are your warmest leads, but notification signups showed interest too!

2.Create a Promo Code

  1. Click Products in the top menu
  2. Scroll down to the Promotion Codes section
  3. Click New Promo
  4. Choose your discount type:
    • Shipping – free or discounted shipping
    • $ off entire order – flat dollar amount off
    • % off entire order – percentage discount
    • $ or % off individual product – discount specific items
    • $ or % off digital downloads – great for digital-only promos
  5. Set your minimum order amount (e.g., "$10 off orders over $20" or "15% off orders over $5")
  6. Choose how many times the code can be used (once, limited uses, or unlimited)
  7. Set an expiration date - this creates urgency! (Try "Code expires after 12/20/2024" for holiday orders)
  8. Enter a name for your code - something memorable like "HOLIDAY25" or "GIFT15"
  9. Click Create Code

Important: The discount total cannot be less than $1.00. Make sure your minimum order amount is set so the final order is at least $1.00 after the discount is applied.

Tip: You can view and manage all your codes anytime by clicking Edit Promos.

3.Send Your Campaign

  1. Open your exported CSV in Excel or Google Sheets
  2. Copy the email addresses you want to contact
  3. Open your regular email (Gmail, Outlook, etc.)
  4. Paste the addresses into the BCC field - this keeps everyone's email private
  5. Write a short, friendly message

Why BCC? BCC stands for "Blind Carbon Copy." When you put email addresses in the BCC field instead of the "To" field, each recipient only sees their own email address - not everyone else's. This protects your customers' privacy and looks more professional.
